    The Galt House Hotel Purchasing Manager will be an inquisitive, detail-oriented leader, with strong quantitative analytical skills and an innovative approach to problem solving.  The Purchasing Manager will be responsible for the management of the purchasing function to achieve service and inventory goals as well as the development of best in class processes to drive service level improvement.

     

    Strong administrative and financial management skills are critical in controlling the Purchasing department’s annual expense budget and labor costs in order to produce consistent operating results. Superior interpersonal communication skills, effective problem solving and critical thinking skills, thorough knowledge of purchasing responsibilities and functions and the ability to build and maintain relationships with internal and external guests to create a positive customer relations environment are highly valued traits for the position.

     

    Responsibilities

    • Collaborates with internal and external personnel for the purpose of implementing and/or maintaining services and programs.
    • Authorizes purchase orders, contracts, bids for the purpose of ensuring vendor compliance with regulatory requirements and established guidelines.
    • Compiles data from a wide variety of sources such as request for proposals, bids, invoices, purchase orders, etc. for the purpose of analyzing issues, ensuring compliance with a variety of policies and procedures, and/or monitoring program components.
    • Coordinates activities and functions such as pre-bid conferences, vendor presentations, informational meetings with varied staff, etc., for the purpose of ensuring best practices in procurement.
    • Directs department operations; the maintenance of services and the implementation of new programs and/or processes for the purpose of providing services within established timeframes and in compliance with related requirements.
    • Evaluates requisitions, change orders, bids, etc. used in the acquisition of supplies, equipment and/or services for the purpose of ensuring compliance with bid and/or order documentation ensuring proper use of district funds.
    • Evaluates vendors and bids for the purpose of determining their capability to meet state, district, and department requirements. Facilitates meetings, workshops, seminars, etc. for the purpose of identifying issues, developing recommendations, supporting other staff, and serving as a District representative.
    • Initiates bidding process and prepares specifications, evaluate bids, recommend vendors, etc. for the purpose of securing items and/or services within budget and in compliance with regulatory requirements.
    • Maintains a variety of files for the purpose of providing required documentation and historical information.
    • Monitors budget allocations, fund balances and related financial activities for the purpose of ensuring that allocations are accurate, revenues are recorded, expenses are within budget limits and/or fiscal practices are followed.
    • Negotiates with vendors for the purpose of ensuring purchases are within district requirements. Participates in meetings, conferences, workshops, etc. for the purpose of understanding the changes for updating and implementing district procurement procedures.
    • Performs personnel functions such as interviewing, evaluating, supervising, etc. for the purpose of maintaining adequate staffing, enhancing productivity of personnel and achieving objectives within budget.

    Qualifications

    • Bachelor’s Degree
    • 3-5 years of Purchasing experience preferably in the hospitality industry
    • Ability to work in a very fast past environment
    • Ability to meet deadlines
    • Finance background with the ability to maintain budgets
    • Strong management skills with positive leadership abilities
    • Experience utilizing purchasing systems, applying pricing strategies and preparing bid specifications
    • Experience creating purchasing and procurement policies
    • Understanding contracts and contract negotiations
